The right vehicle depends on more than passenger count – here’s how to actually decide.

Most people booking a car for the first time default to whatever comes up first in an app, without thinking much about whether it actually fits the trip. But the right vehicle isn’t just about how many people are riding – it’s about luggage, distance, group dynamics, and what happens once you arrive. Picking wrong usually doesn’t ruin a trip, but it does mean paying for more car than you need, or cramming into less than you should have booked.

We put this guide together after years of fielding the same question from clients booking everything from a solo JFK airport transfer to a full wedding party shuttle: “What car do I actually need?”

The Four Vehicle Classes

SEDAN

1–3 riders

Best for solo travelers, couples, or a single business trip where luggage is limited to a carry-on or two. This is the default choice for airport transfers and point-to-point corporate rides where discretion and speed matter more than space.

Good fit for: airport pickups, single-client corporate rides, date nights

SUV

1–6 riders

The right call once luggage becomes a factor – families heading to the airport with full suitcases, small groups heading to the Hamptons for the weekend, or a client who wants a bit more room without stepping up to a van. Also the standard choice for cruise terminal drop-offs, where luggage volume is almost always higher than expected.

SPRINTER VAN

Up to 14 riders

The most requested vehicle for anything involving a group that needs to stay together – bridal parties, office night-outs, and event transportation where splitting into multiple cars would mean people arriving at different times. It’s large enough to feel spacious but still nimble enough to navigate tighter city streets that a full-size bus can’t.

Good fit for: wedding parties, night-outs, sports venue groups, small corporate teams

MINI-BUS

18–38 riders

Built for scale – college orientation groups, convention shuttle routes running all day, and any event where the guest list is large enough that even a Sprinter van would mean running multiple trips. Multiple mini-buses can also be coordinated together for events well beyond even this capacity.

Three Questions to Ask Before You Book

1. How much luggage is actually coming?

A sedan fits 2-3 carry-ons comfortably. Full suitcases for a family of four almost always call for an SUV, even if the passenger count alone would fit a sedan.

2. Does the whole group need to arrive together?

If timing matters – a wedding party, a client meeting – one larger vehicle beats splitting the group across two smaller ones that might not stay in sync.

3. Is this a one-time trip or a recurring need?

Recurring routes, like corporate accounts or school shuttles, are often worth setting up as a standing schedule rather than booking individually each time.
